Administrative Support Tasks

avoid overlap with other volunteers

Classes

Publish class flyers   volunteer here
  • Contact the Class Coordinator to determine the topic of the next class.
  • Create a flyer encouraging people to attend the class. Your flyer should include the following information: topic, date and time of class, class location, sponsor name (Greenbelt Library) and most important, "Greenbelt Internet Access Cooperative."
  • Make at least 8 copies of your flyer. (Not all flyers have to be identical. Variety can help attract attention.)
  • Contact the Publicity Coordinator to arrange for the distribution of your flyers.
Set up / clean up classroom   volunteer here
  • Before the class:
    • The speaker and GIAC principals will usually be busy setting up equipment.
    • Arrange tables and chairs (at the direction of the speaker).
    • Hang GIAC banner on front side of sign-in table.
    • Arrange sign-in sheet(s), membership kits and handouts.
    • Greet and sign-in guests.
  • During the class:
    • Control room lights as needed by the speaker.
    • If possible, quell any excessive hallway noise.
  • After the class:
    • The speaker and GIAC principals will usually be busy breaking down equipment and/or answering questions from attendees.
    • Roll GIAC banner (letter side outward) and stow in shipping tube. Leave banner ties attached for next use.
    • Collect all materials and give to speaker or other GIAC principals.
    • Return tables and chairs to the original arrangement.
    • Inspect room for tidiness.
    • Turn off all lights and close door before leaving.

Publicity & Promotions

Submit newspaper articles   volunteer here
  • Class announcements
    • Contact the Class Coordinator to determine the specific information for the next class.
    • Write a short article encouraging people to attend the class. Your article should include the following information: topic, date and time of class, instructor's name and background, class location, sponsor name (Greenbelt Library), contact person and phone number, and most important, "Greenbelt Internet Access Cooperative." Use your imagination to tell your readers why they don't want to miss this class.
    • Submit your article to the Publicity Coordinator prior to the 5th of the month via e-mail. All articles must be approved by the Publicity Coordinator prior to publication.
  • Other announcements
    • Contact the Publicity Coordinator to volunteer to prepare short articles to announce ongoing GIAC activities and business. These occasional articles are not scheduled and will be needed as events occur. You will be given the specific information and other instructions, as needed.
    • Submit your article to the Publicity Coordinator via e-mail by the deadline specified. All articles must be approved by the Publicity Coordinator prior to publication.

Publish meeting flyers   volunteer here
  • Make a GIAC flyer encouraging people to attend our monthly meetings. The flyer should include the following information: date, time, and location of meeting; "Greenbelt Internet Access Cooperative"; special topics (if any).
  • Make several copies of your flyer.
  • Contact the Publicity Coordinator to arrange for the distribution of your flyers.

Couriers

Distribute flyers   volunteer here
  • Contact the Publicity Coordinator to determine identity of flyer publisher(s).
  • Obtain flyers and (if available) list of posting locations and instructions.
  • In addition to flyers and instructions, take with you on the road thumbtacks or map pins, stapler, staples, staple remover, pen & paper.
  • At each listed location, remove any expired GIAC flyers and post new one(s).
  • Pay attention to any rules that may apply to each bulletin board (e.g., the Aquatic Center allows no pins, only staples).
  • At each location not listed (your option), ask about and write down any rules that apply.
  • Return excess flyers and other information to the Publicity Coordinator or other GIAC principal.
